How to send a freight request to several carriers at once
Checking a freight price usually means writing to every carrier separately: the same details again and again, replies scattered across email, WhatsApp and calls, and offers that are hard to compare. This guide explains how to prepare a good request and how to make the process simpler.
What a good request contains
The more precise the request, the faster and more accurate the carrier's price. Include:
- Loading and unloading place: city and country; for sea and air, the port or airport.
- Cargo: a short description (for example «textiles», «car spare parts»).
- Weight and volume: kg, CBM or number of pallets; dimensions if you have them.
- Transport mode: road, sea, air or rail.
- Dates: loading date and the delivery time you need.
- Incoterm: for example EXW, FCA, DAP. See the differences.
- Special requirements: temperature, dangerous goods (ADR), out-of-gauge cargo, container type.
- Quote deadline: by when carriers must reply.
The steps with Arachi
- Create the request. Use the form, or upload text or a file (PDF, Excel, image) and let the AI assistant fill it in.
- Choose carriers. Send to your whole base, a category, or specific carriers.
- Carriers reply from a personal link. No registration or password: they enter the price, transit time, notes and a document.
- Follow the process. See who opened the request and who replied, and send reminders to those who have not.
- Compare and choose. Offers are collected in one panel, other currencies are shown with an AZN equivalent. Pick the winner and prepare a PDF quote for your customer.
When comparing, do not look at the price only
- What the price covers: customs, terminal charges, insurance, loading and unloading.
- Transit time and whether it fits your delivery date.
- Offer validity and payment terms.
- Currency: convert offers to one currency before comparing.
- Alternative offers: a carrier may suggest a cheaper but slower option.
Common mistakes
- Sending an incomplete request: carriers ask questions and time is lost.
- Getting a price from only one carrier: you do not know the market level.
- Comparing different terms (for example EXW with DAP).
- Not setting a reply deadline.
Write the request once, compare the offers in one panel
Arachi sends your request to your chosen carriers at the same time, collects the offers in one place and shows who has replied.
Sign upFrequently asked questions
Do carriers need to register?
No. Each carrier gets a personal link specific to the request and enters the price and notes on that page without registering.
How many carriers can I send a request to?
Any number from your own carrier base: the whole base, a category, or selected companies.
Where do the offers come together?
In your customer panel, on the request's page. A carrier can update an offer later and every version is kept.
